Registration Guidelines

All participants are kindly recommended to register via the Online Registration Form. Please read these instructions carefully.

Each participant will receive a Registration Number by email after completing a registration via the Online Registration Form. As for payments completed by bank transfer, please proceed with the payment only after receiving your registration number. Please do not send any payment by bank transfer without the registration number and participant’s name included in the payment details.

All above fees include local 5% GST

* The discounted registration fees applicable to Radiation Therapists, Dosimetrists and Students are only available to those providing valid credentials requested via the registration form. The standard registration fee will apply to anyone unable to prove one of these three positions when requested.

Please make sure to pay your registration fee before the deadline for the selected registration type. If your payment is not received before the deadline date, the later fee will be automatically applied.

Group Registrations

Group registrations can be processed online under one email address identification; you will be able to add each participant under the same invoice at the end of the registration.

Insurance

The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.

Each participant will receive the a registration overview and email notification confirming the received payment. To view the status of your payment click the Online Registration Form.


Payment

All fees should be paid in USD ($), free of all bank charges.

By Bank Transfer

Please make sure that the payment is free of all bank charges and the participant’s name and Registration Number are clearly stated in the bank transfer. Payments received without such details (name, Registration Number) cannot be identified. The payment by bank transfer is available until 20 April 2021. After this date, all payments can be done only by credit/debit card.

Online Payment by Credit/Debit Card

In case of a rejected on-line credit/debit card payment, the delegate is recommended to amend log in to their registration his registration online and try to process the payment again. Should the trouble with the payment persist, the participant is advised to contact the credit card issuer/bank first and check if the online transactions are not disabled on his credit card. Afterwards, the amendment of the registration can be processed again.

Final Invoice

In the event that your registration and payment confirmations are not enough, a final invoice will be provided to the participants only upon request, the Secretariat will not send this document automatically. Please contact us to ask for your receipt.

The final invoice will be issued based on details provided whilst registering (step Contact/Invoice details). Any change to these details (address, VAT number etc.) is possible only within 3 days from the registering date and is subject to the 20 USD fee.


Cancellation / Refund Policy

Cancellation of Registration

Until 7 March 2021 – 50 USD administrative fees will be deducted from all refunds

From 8 March 2021 until 22 April 2021 – 50% of the fee will be refunded

From 23 April 2021 – no refund can be processed

Cancellation of Other Bookable Items (Payable Social Events)

Until 22 April 2021 – 20 USD – administrative fees will be deducted from all refunds

From 23 April 2021 – no refund can be processed

General Cancellation Conditions

All cancellations must be notified in writing (by email or by fax) to the PTCOG 59 Secretariat C-IN and cannot be done online or over the phone 

Requests for refunds made after 11 September 2020 will not be considered

For any change of name, a fee of 20 USD will be charged

CANCELLATION OR MODIFICATION OF THE CONGRESS DUE TO FORCE MAJEUR

In the event of a force majeure situation, PTCOG 59 without prior notice, has the right to alter or cancel the conference. Any occurence would be communicated as soon as reasonably possible from the decision time. Force majeure includes any circumstance beyond the reasonable control of PTCOG 59 which prevents or impedes the realisation of the conference. This includes but is not limited to, government action, war or hostilities, riot or civil commotion, plague or other epidemic such as SARS, bird flu, earthquake, flood, hurricane, cyclone, fire or other natural physical disaster, explosion, accident or breakdown, strike, lack of the usual means of transportation or terrorism. PTCOG 59 shall not be liable for any direct or indirect, incidental or consequential damages, losses, expenditures or any other inconveniences or costs caused by such modification or cancellation of the conference. Furthermore, registration fees will be reimbursed in accordance to the PTCOG 59 cancelation policy.

The European General Data Protection Regulation (EU GDPR) entered into force as of 25 May 2018 and it involves some additions to data protection.

We take your privacy very seriously and in order to comply with GDPR consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating the account in our system. You can view it here.
